Keep the account owner in control
One dedicated bot serves one current registered owner, one business, and one workspace. The owner explicitly approves its Business connection and Team Inbox; owner-only setup stays outside the team forum.
One private Team Inbox per business workspace
Each Telegram Business conversation receives one durable forum topic. Mirrored messages and replies stay tied to that Business chat; direct messages sent to the bot are handled by the separate Bot Inbox product.
Recognize customers after profile changes
The first topic card records the numeric Telegram ID and every profile field the bot can actually observe, including the current avatar when available. Later detected changes to names, usernames, avatars, or bio-like fields become timestamped events instead of silently replacing history.
Human replies with a short safety window
Text, voice, video notes, media, replies, edits, and deletions keep an auditable timeline. Human replies show the matching Telegram chat action and wait three seconds by default, giving the responder a visible Undo Send button before delivery.
What to enable in Telegram
In @BotFather, allow the bot to join groups, disable Group Privacy, and enable Secretary Mode (called Business Mode in some Telegram surfaces). Then create a private forum Team Inbox and add the bot as an administrator with permission to manage topics, send messages, and pin messages.
